Refund/Cancellation Policy

Emergency Medical Cancellation Insurance coverage is available.  In light of COVID we strongly recommend that you consider this coverage.  Details are below.

Due to the nature of the training that Zac’s Tracs provides we require the following Refund and Cancellation Policy. In order for us to bring the Avalanche Skills Training courses to such a broad range of communities there are costs that are incurred including instructors, meeting rooms, travel expenses, credit card fees, admin time, etc, which cannot be recouped by Zac’s Tracs unless the courses take place and are filled to capacity.

If you are unable to attend any Zacs Tracs course for any reason COURSE REGISTRATIONS MAY BE TRANSFERRED TO ANOTHER person with no loss of fees.  (NEW for 2020-21 – The $25 admin fee for transfers has been waived in light of COVID.)

The new registrant must contact Zacs Tracs in advance of the training session to confirm the transfer and to confirm all required registration details.  The new registrant must attend the registered dates in question and ensure that they have either (a) taken the prerequisite classes, or have (b) registered and paid for the prerequisites prior to participating in the session in question.

Should you not be able to use the COURSE TRANSFER option the following cancellation policy will apply:

  1. CANCELLATIONS MUST BE RECEIVED IN WRITING (text, email or fax) and are only effective once Zac’s Tracs confirms the receipt of this written notice of cancellation.
  2. Course registrations CANCELLED WITH MORE THAN 14 DAYS NOTICE may be refunded, less a $25 administration fee or the full fees may be transferred to a FUTURE TRAINING DATE.
  3. Course registrations CANCELLED WITH 7-14 DAYS NOTICE may have 50% of the program fees refunded or 75% of the fees transferred to a FUTURE TRAINING DATE. The remaining fees will be FORFEITED.
  4. There will be NO REFUNDS for cancellations of a FIELD SESSION with LESS THAN ONE WEEK notice.  (There is no flexibility in this policy as there are simply too many unrecoverable costs associated with field sessions.  Make every attempt you can to find someone to transfer your fees to in the event that you cannot attend a field session.)
  5. There will be NO REFUNDS for cancellations of CLASSROOM & RESCUE WORKSHOP SESSIONS with LESS THAN ONE WEEK notice.  NEW for 2020-21 – Transfer 75% of the fees to a FUTURE TRAINING DATE.  The remaining fees will be FORFEITED.
  6. Courses are NOT WEATHER DEPENDENT. Non-attendance due to weather or road conditions is considered a cancellation and the full course fee will be charged.
  7. Zac’s Tracs reserves the right to cancel any scheduled Course should the number of registrations not reach the minimum number required to make the course viable. All course fees will be returned to the student. Other expenses incurred by the student related to the program or as a result of Zac’s Tracs cancelling the program are the responsibility of the registered participant.

Emergency Medical Cancellation Insurance coverage is available. This insurance, taken at extra cost when you first book, will allow for a full refund should you be forced to cancel FOR HEALTH OR MEDICAL reasons AFFECTING YOURSELF OR MEMBERS OF YOUR IMMEDIATE FAMILY.  A doctor’s note or proof of a positive COVID test result will be required.

Please note, this Insurance does not cover cancellations due to:  a) symptoms of COVID (without a positive test result), or b) close contact with someone that has tested positive for COVID (unless it is a member of your immediate family).
